Trading shifts on iwork

Last Updated: Jan 01, 2012 09:45AM EST

Employees can use iwork to trade shifts. Below are the quick steps for posting and picking up shifts on iwork.

Note: Employers can restrict trading by either not allowing it or requiring an approval process to trade a specific shift. So if you don't see a Post link beside the shift - you'll need to contact your employer since they aren't allowing you to trade that shift yourself.

Posting a shift for anyone else to pickup

  1. Login to iwork.
  2. Click the My iwork menu, and then the My Schedule option.
  3. Scroll down to the bottom of the page where your shifts are listed.
  4. Click the "Post" link beside the shift you want to post.
  5. The default option when posting a shift is to post it for everyone, so leave that unchanged.
  6. You can optionally enter a reason (this will be displayed to all your fellow team members).
  7. Click "Post Shift".

Note: You can always unpost a shift by clicking the Unpost link.

Note: Beside the Unpost link you'll see a number (5) - this is the number of days remaining before your shift is automatically unposted. To keep the pick-up shifts page clean, iwork only allows a shift to be posted for 5 consecutive days. You can always repost your shift after these 5 days if you need it to remain posted.

Posting a shift for a specific person

  1. Login to iwork.
  2. Click the My iwork menu, and then the My Schedule option.
  3. Scroll down to the bottom of the page where your shifts are listed.
  4. Click the "Post" link beside the shift you want to post.
  5. Change the default option from "Available to everyone" to the specific person you want to post the shift to.
  6. You can optionally enter a reason (this will be displayed only the person you are trading this shift with).
  7. Click "Post Shift".

Note: If your employer requires approval for you to post a shift, you can't post it for a specific person - you can only post the shift for everyone to pick it up.

Picking up a shift

  1. Login to iwork
  2. Click on the My iwork menu, and then the Pickup Shifts option
  3. On this page you'll see a list of all the shifts posted by your co-workers or your employer.
  4. Click on the date of the shift you'd like to pickup.
  5. You will be asked to confirm that you want to pickup the shift.
Done - it's as simple as that!

Be careful! As soon as you confirm that you want to pickup the shift, the shift will be removed from your co-workers schedule and instantly placed on your schedule, making you responsible for the shift. There is no way to return the shift to your co-worker without you posting it, and having them pick it up again.
